The Process

How it works

Chinese hospitals run on registration systems (挂号, guàhào) and hospital-specific mini-programs that are not built for international patients. Here is what actually happens once you decide to book.

Tell us your situation and preferred city

Share your medical documents, timeline, and which hospital or destination you're considering. We confirm whether the department and doctor you need are actually taking international patients during your travel window.

We handle hospital registration on your behalf — through the international patient department where available, or directly with the relevant clinical department — and confirm your appointment date and time before you arrange your travel.

Can China Care get me a visa or invitation letter?
No. Visa applications are handled by you directly (or avoided entirely if you qualify for visa-free entry), and an invitation letter for an S2 visa can only be issued by the licensed hospital treating you — not by China Care or any other facilitator. We coordinate with the hospital's international office to help the letter get issued once your case is confirmed, and help you assemble the rest of your application.
Do I need a visa at all for a health screening or short consultation?
Often not. If you hold a passport from one of the visa-exempt countries and your visit concludes within the allowed period, you can typically enter and complete a health screening or consultation without a visa. See our complete visa guide for the full country list.
How far in advance should I book my hospital appointment?
For a health screening or routine consultation, 1–2 weeks' notice is usually enough. If you also need an S2 visa, start the process at least 2–3 months before your intended travel date to allow time for the hospital to issue your invitation letter and for your visa application to be processed.
Will hospital staff speak English?
Partner hospitals with international patient departments have English-speaking administrative staff, but not every treating physician is fluent. China Care provides a bilingual coordinator so you have full comprehension of your results and instructions, not a partial summary.
Can I register directly with the hospital myself?
Most international visitors prefer to make an appointment through a coordinator — we confirm real appointment availability, register you in the correct department, and stay reachable in English if anything changes.
What happens if my treatment plan changes after I arrive?
If you entered visa-free and your treatment is now expected to exceed the allowed period, or you need to convert to an S2 visa, the hospital's international department advises on the correct process based on a documented, ongoing treatment need. China Care can coordinate this conversation with the hospital on your behalf.
How do I get a quote for Hospital Access?
Hospital Access is a coordination service with a single, transparent fee — message a coordinator on WhatsApp with your city, preferred dates, and what you need for a free initial discussion and a quote. It includes hospital registration and appointment confirmation, document and report translation, visit preparation, and ongoing WhatsApp coordination with your bilingual coordinator. It does not include treatment, diagnosis, tests, medication, or any hospital fees — and there is no markup on the care you receive.
How is this different from hiring a translator?
A translator handles a single language task. China Care is medical coordination — a healthcare concierge that registers you, confirms the appointment before you travel, arranges professional translation of your records both ways, prepares you for the visit, and stays reachable on WhatsApp throughout. You get one accountable point of contact for the whole journey, not a per-hour interpretation service.
Trust & Safety
How do you protect my medical records and passport information?
Your personal and medical information is used only to coordinate this case. It is transmitted encrypted, shared on a need-to-know basis with the minimum staff required, and never sold or passed to third parties. We keep it only as long as your case requires.
Who are your coordinators, and what are their qualifications?
Our coordinators are bilingual (Chinese–English) medical coordinators with backgrounds in medical coordination or case management, trained on our case-handling and privacy protocols before working with patients.
How do you choose and vet partner hospitals?
We work only with licensed hospitals that have an international patient department or the specific clinical department you need, and we verify their credentials in advance before listing them as partners.
Refunds & Assurance
Do you add any fee on top of what the hospital charges?
No. You pay the hospital directly at its published rates. China Care charges a flat coordination fee for its coordination service, and hospital fees are paid directly by you to the hospital.
What if you can't arrange my appointment?
